Privacy Policy
The East Meadow Firefighters Foundation (“EMFFF,” “we,” “us,” or “our”) is a 501(c)(3) non-profit organization based in East Meadow, New York. This Privacy Policy describes how we collect, use, and protect information when you visit www.emfff.com (the “Site”) or make a donation.
We’ve tried to keep this short and plain. If anything is unclear, email us at [email protected].
1. Information we collect
The Site is a static informational website. We do not run accounts, contact forms, or newsletters. The information we collect is limited to:
Automatically, when you visit the Site
- Standard request data (IP address, browser/device type, referring page, pages viewed) recorded transiently in server logs.
- Page-view and performance metrics (Core Web Vitals such as load time and layout stability) collected through Cloudflare Web Analytics. Cloudflare Web Analytics does not use cookies and does not collect personal information. See Cloudflare’s privacy policy.
- Country-level geographic information derived from IP address.
When you make a donation
Donations are processed by Square (the “Processor”). Your payment information, including card number, billing address, and contact details, is collected and processed directly by Square under their privacy policy. We never see, store, or have access to your full card or bank account number.
From the Processor we receive only:
- Your name
- Your email address
- Donation amount
- Donation date
This is the minimum needed to keep accurate records and issue your tax-deductible giving receipt.
2. How we use information
- To operate, secure, and improve the Site.
- To understand traffic patterns in aggregate (which pages are visited, where visitors are coming from).
- To process your donation and issue you a receipt.
- To maintain accurate records as required by IRS and New York State regulations governing 501(c)(3) organizations.
We do not use your information to send marketing emails, newsletters, or solicitations. The Processor will email you a transactional receipt for each donation; that is the only email contact we initiate.
3. How we share information
We do not sell, rent, or trade your information. We share information only with:
- Square, our payment processor, to complete donations.
- Cloudflare, our DNS provider and analytics vendor, which receives request metadata to operate the Site.
- Our accountant or auditor, in the course of preparing required financial filings (IRS Form 990, NY CHAR500).
- Law enforcement or regulators, only when required by valid legal process.
4. How long we keep information
- Server logs: typically purged within 30 days.
- Analytics data: retained per Cloudflare’s policy.
- Donation records: retained for at least seven (7) years to comply with IRS recordkeeping requirements for tax-exempt organizations.
5. Your rights
Depending on the state you live in, you may have the right to:
- Request a copy of the personal information we hold about you.
- Request that we correct inaccurate information.
- Request that we delete your information, subject to our recordkeeping obligations (we cannot delete donation records required by law).
- Opt out of certain uses of your information.

6. Children’s privacy
The Site is not directed to children under 13, and we do not knowingly collect information from children under 13. If you believe a child has provided us information, please contact us and we will delete it.
7. Security
We use HTTPS, a strict Content Security Policy, and other reasonable measures to protect the Site. No method of transmission over the internet is 100% secure, however, and we cannot guarantee absolute security.
8. Changes to this policy
We may update this policy from time to time. The “Last updated” date at the top of this page reflects the most recent change. Material changes will be highlighted on the Site for at least 30 days.
